Roles & Profiles on Dines help you keep your venue organised by managing staffing, controlling access, and monitoring Time & Attendance.

Roles & Profiles on Dines help you keep your venue organised by managing staffing, controlling access, and monitoring Time & Attendance. Using these tools, you can create individual staff profiles, assign them to bespoke roles (for example "Manager" or "Staff"), and record the time spent by employees on shift.

Roles

Roles represent specific positions that can be assigned to members of your team, which declare what parts of the system they will have permission to use.

Dines includes four default roles: Admin, Manager, Supervisor and Staff. To view and edit these, go to Settings > Team > Roles. Click Edit next to a role to change its permissions by selecting or deselecting options.

There is a brief description beneath each permission to give you an overview of its function.

Permissions you can toggle for a role include:

  • Remove Items From An Order

  • Void Order

Creating a custom role

  1. Select New Role at the top right of Settings > Team > Roles.

  2. Name your role and add a description at the top right.

  3. Select the permissions you wish to allow.

  4. Click Save when complete.

Profiles

Once you've chosen, edited or created your roles, it's time to assign these to profiles. Create a profile for every staff member at your venue, and assign them a unique PIN code and one of the roles above.

To start creating profiles, go to Settings > Team > Profiles. Click New Profile at the top right, and a pop-up box will appear on your screen.

Field

Description

Name

Use the staff member's first and last name so they're easier to identify.

Contact Number

Add their contact number so the profile can be used as a quick way to reach them if you ever need to.

Pin Code

The desired PIN for this person. Leave it blank and a random PIN is assigned.

Time & Attendance Tracking

Switch this on to track the employee's time and attendance, and to select their hourly pay rate.

Roles

Click to select which role you wish to assign this staff member to.

When you've filled in everything required, click Create at the bottom of the page.

Time & Attendance

To get to Time & Attendance, go to Settings > Team > Time & Attendance. Here you'll find several options for fine-tuning how you'd like time and attendance tracking to work for your employees.

Setting

Description

Enable Time & Attendance Tracking

Activate this if you want to record time spent by employees on shift, including start and end times, and breaks.

Hourly Rates Presets

Set up predefined hourly wage settings for different teams in your venue.

Are Breaks Paid or Unpaid?

Choose whether you want to compensate staff for their breaks or not.

Auto-clock out

Automatically clocks out staff in case they forget to do it manually.

Which employees do you want to track time & attendance for?

Click the green button on the right to start tracking a member of staff.

Once tracking is switched on for an employee, they're prompted to begin their shift every time they log in to EPOS.

Staff can take breaks while logged in by tapping On Shift at the top right. Time & attendance tracking continues while a break is in progress.

Hourly Rates Presets

If you have Hourly Rates Presets enabled on the Time & Attendance page, this option appears within Team settings.

  1. Click New Hourly Rate Preset, which opens a pop-up window.

  2. Input basic information about the preset you wish to create, for example a name such as "Waiting Staff" or "Supervisors".

  3. Assign an hourly rate. There's no need to type the £ sign.

  4. Select the employees who should be assigned this wage preset.

  5. Click Create. The employee's Time & Attendance will now be tracked using this preset.

Reports like Activity by Employee, Sales & Tips by Employee and Refunds by Employee can be viewed in the Reporting section of Dines, allowing you to break down each employee's shift and view their contributions.
